Instructions for Using the Angel Flight Information Database Service (AFIDS)

The Angel Flight Central web site, online mission coordination system and volunteer database (AFIDS) and other technology tools are designed to facilitate improved communication with our volunteers. While it is very important to us that we don’t lose the human connection between our volunteers and staff team, we do strive to make the logistics of flying for Angel Flight as easy as possible.

The following is a menu of information that will help you in using our revised web site and the mission coordination system. You may want to print this entire page for reference while navigating through the AFIDS site at www.angelflightcentral.org.

Introduction to Entering and Using AFIDS

AFIDS gives volunteers access to mission and volunteer information while streamlining the coordination process for the Missions Team.

Login to AFIDS: The first time you login to AFIDS, you will need your Angel Flight Member ID Number (found on your ID badge mailed to you), your last name and your zip code as provided to Angel Flight on your Volunteer Pilot Application.

Once you have logged in as a member with your ID#, you should give yourself a Username and Password. Once you have completed this step, you must log in using your chosen username and password every time you login in the future. You will not be able to login using your ID# after your initial login. This process helps us maintain a higher level of security for AFIDS. If you forget your password, click on the link on the login page and your password will be emailed to the email address we have in the system.

Links to various AFIDS functions are located on the left blue bar that you will be able to view and use once you’ve logged in to AFIDS. The links you will most often use include:

  • Missions Available
  • File mission reports
  • Manage E-mail subscriptions
  • Block Mass Emails
  • Un-block Mass Emails
  • Mission Summary
  • Year End Report
  • Member Roster
  • Renew Your Membership
  • Edit Your Own Person Data

Other features will be added periodically to improve the system.

What missions are available for me to fly?

  • Select "Available Missions" on the left-hand column on the www.angelflightcentral.org home page or by clicking on “pilot info” at the top of the home page and then selecting the “View Available Missions” button.
  • Find the mission you wish to request and click “open” on that mission. Once the mission is selected, you will be prompted to login to AFIDS.
  • Follow the login instructions listed above. (underlined words link to section above)
  • Review the mission and select "Request this Mission" at the bottom of the page.
  • On the Mission Request page, insert any comments you may have and select the "Add" button at the bottom of the page.
  • You will then receive a confirmation email along with the mission’s paperwork from the Mission Coordinator letting you know your message was received. You MUST reply to this email to confirm your acceptance of the mission. If the mission is already filled, you will also receive an email from the Mission Coordinator notifying you of the mission’s status. Thank you for volunteering!

Mission Logistics:

Listed below are a few reminders and more information about the mission process:

  1. Once you have been assigned a mission (as confirmed by a coordinator), please contact the passenger; any relay pilots, and Earth Angels if applicable to determine/confirm the pickup and/or drop-off logistics.

  2. If you need to cancel a mission for any reason or have any other emergency, please contact the Mission Coordinator immediately by calling 1-800-474-9464 ext. 2, and contact your passenger, linking pilot and Earth Angel volunteer if applicable as well.

  3. Bring passenger liability release forms with you when you pick up your passengers (one for each person). Also bring a stamped envelope with Angel Flight's address. A separate form must be signed by each passenger (or passenger's guardian if they are under the age of 18) including any companions flying on the mission with you. The forms must be mailed to the office or faxed to (816) 421-2409 prior to take off. Do not carry the waiver with you on the mission. This process is for your protection.   4. File a flight plan (VFR or IFR).

  5. Carry airsickness bags.

  6. Use the Angel Flight Call Sign when you have passengers on board (NGF).

  7. Take a photo if you have the passenger's permission.

  8. Upon completion of the mission, please promptly file a mission completion report. You now file your report online by logging in to AFIDS instead of calling the mission coordinator. If you have any problems filing your mission report online or have any questions that require the assistance of the Mission Coordinator, call the office at (816) 421-2300 during normal business hours (8:00 a.m. to 5:00 p.m. Monday-Friday) and the staff will be happy to help you.

  9. If you have a photo(s) from your mission, please send us the photo electronically by e-mailing it to wings@angelflightcentral.org. A hard copy can also be sent to the office for use in future communications materials. A picture can be worth a thousand words when sharing the Angel Flight story with others. Your help in capturing the faces of the Angel Flight family is much appreciated!

Accessing Data for Missions I’ve Volunteered to Fly or Have Flown

You can look up pending missions for which you have been scheduled, or review past missions you flew. Login to AFIDS and click on “Mission Summary.” Reviewing past missions allows you to confirm that your mission reports were received by AFC and print past mission reports if needed.

To review your pending missions, login to AFIDS by using your username and password. Click on the link to "Mission Summary".

Filing Mission Completed Reports

Filing your mission reports online saves you time, allows us to provide you with more accurate information at the end of the year for your taxes and streamlines the post-mission process for the Missions Team.

The data from the mission record is pulled into the mission report form, so often times you only need to add your hobbs time. In the past we calculated an estimate for your donated flight time, distance, etc. By tracking the total time you fly for Angel Flight from your home base to home base we will now be able to more accurately reflect your service donation in your records and Angel Flight Central’s.

Filing your mission report online:

Step 1: Login to AFIDS.

Step 2: Click on the link "File Mission Report" located on the left-hand blue column of the screen. All of your mission legs for which there are outstanding mission reports are listed for you.

Step 3: Check a mission leg and then click “Submit” to fill out the mission report form for that mission leg. Repeat this process for each of the mission legs you have flown. The system provides a confirmation page that you can print for your records. You will also have access to a statement year round as well as the end of the year showing the hours you have flown for Angel Flight.

Important notes about mission reports:

  1. If your mission was cancelled, please do not fill out a mission report. Please notify the Mission Coordinator immediately by calling 1-800-474-9464 ext. 2. If the mission appears in your list, the Missions Team is not aware that the mission has been cancelled. Please call the office during business hours to verify the status of the mission so the database can be corrected. This is very important to keep our monthly mission and financial reporting accurate.

  2. Enter the hobbs time for the whole trip (home base to home base), not just the flight segments where the passenger was on board. We track the total time you are in the air for Angel Flight.

  3. There is an optional comments section on the mission report form where you are invited to share any information about the mission that you feel is important for the coordination team to know about.

  4. Sometimes several mission legs are completed in a single flight. For example, you may have more than one passenger going from the same origin to the same destination, or a three-legged flight with more than one passenger. You may group these mission legs into one mission report by checking each of the mission legs that were a part of that flight. Enter the hobbs time for the trip.

    For example, two passengers, Bill and Mary, go from SMO to SMA and the round trip is 1.8 hours. Check the box next to the mission leg for Bill AND the mission leg for Mary. In the hobbs time field, enter 1.8.

    Only group mission legs when they were part of the same flight. Do not group mission legs that took place on different days.

  5. Sometimes the date of the mission changes. For example, you may delay a flight due to weather to the next morning. Enter the new date in the mission report form. The listing will continue to show the scheduled date, but other reports used internally will reflect the correct date.

Accessing and Changing Your Personal Information in AFIDS

Once you have logged in to AFIDS you can view or edit your personal data. It is very helpful to do so when your address, phone numbers, or email address changes to make sure that we can always get in touch with you.

Click the link to "My Data" on the left-hand column. The information we currently have in our database will appear.

To modify the data you see (the personal contact information), click "Modify." Once the change screen appears, click "Modify" again. The next screen that appears allows you to change the data in the fields. Once you have completed your modifications, click "Done", then click "Done" again to complete the modifications. Be sure to keep clicking “Done” until the option no longer appears. This ensures that the system accepted your changes.

To update other information Angel Flight needs to keep on file such as your FAA ratings, aircraft, aircraft location, medical certificate status, etc. please email or call the Missions Director in the Angel Flight Central office.

What Angel Flight activities are going on in my area?

You may view a calendar of upcoming Angel Flight meetings and special events by clicking on the “News and Notes” button on AFC’s home page at www.angelflightcentral.org. Then click on the “Calendar of Events” link at the top of the page. In some cases, your local grassroots WING's page will also list events in your area.

Why am I not getting email from Angel Flight?

If you are not receiving email from us then you may need to check your email settings as your Internet provider may have stepped up security on the spam filter. You may need to change your settings to add angelflightcentral.org as an "approved" domain or contact your Internet Service Provider to find out how to do this.

How do I receive Email notification of Available Missions?

Login to AFIDS, click on "Manage Email Subscriptions" then click on "Subscribe" next to "Missions Available" to automatically receive daily updates on missions available. Please note that the most updated list of missions is only obtainable by going to the website and clicking on "Available Missions."
